After the customer approves

After the customer signs or approves, click Convert to invoice in the sidebar (next to Download PDF). You do not retype line items, the tool assigns a new invoice number, today's date, and Net 30 due date, then opens the invoice builder for a final review.

How does estimate to invoice convert work?

Click Convert to invoice in the sidebar. Line items, business and client blocks copy over. You get a new INV- number, today's issue date, Net 30 due date, and any deposit field cleared. Edit anything before you download the invoice PDF.

What carries over when I convert?

Line items, quantities, rates, notes, tax rate, and discount settings. The estimate number stays on the old PDF only, the invoice uses the next number from your browser counter.

Do I need to re-enter the client after convert?

No. Parties and line items copy automatically. You land on /invoice with the form prefilled; review due date and totals, then download.

How do pool service companies bill weekly maintenance?

Most routes use a flat monthly or per-visit fee for skimming, brushing, and chemical checks, with chemicals billed separately or included up to a cap. List the service frequency and what is included so customers do not dispute add-ons.

Should chemicals be a separate line item on pool invoices?

Yes when usage varies, separate acid, chlorine, and salt so the customer sees why the total changed. Fixed-rate plans can roll chemicals into one line with a note in the description.

How do I invoice pool opening and closing?

Use lump-sum lines for drain, cover, winterization chemicals, and startup balancing. Seasonal jobs often need a deposit on the estimate and balance due on completion.

What should a pool repair invoice include?

Diagnosis or trip fee, parts with model numbers, labor hours, and warranty on installed equipment. Note if the repair is under manufacturer warranty versus billable.
