Business license, EPA 608 cert if handling refrigerant, line items for diagnostic fee, labor hours, parts, refrigerant type and quantity, and payment terms. Our PDF footer reminds clients this is not tax advice.
Add a line item with unit "each" or lump sum, note the refrigerant type (e.g. R-410A) in the description, and list pounds recovered or added. Keep EPA log records separately for compliance.
Many shops quote a flat diagnostic or trip fee that applies to the repair if the customer proceeds. List it as its own line so the estimate total matches what you discuss on site.
