HVAC questions

What should an HVAC invoice include?

Business license, EPA 608 cert if handling refrigerant, line items for diagnostic fee, labor hours, parts, refrigerant type and quantity, and payment terms. Our PDF footer reminds clients this is not tax advice.

How do I bill refrigerant on an HVAC invoice?

Add a line item with unit "each" or lump sum, note the refrigerant type (e.g. R-410A) in the description, and list pounds recovered or added. Keep EPA log records separately for compliance.

Should I charge a diagnostic fee on estimates?

Many shops quote a flat diagnostic or trip fee that applies to the repair if the customer proceeds. List it as its own line so the estimate total matches what you discuss on site.

Estimate vs invoice for HVAC replacement?

Send an estimate with equipment model, warranty note, and valid-until date. After approval, convert to an invoice with the same line items and a new invoice number — our tool supports one-click estimate→invoice.
